Terms of Service

By accessing or using FileFlow (fileflow.sa), a product owned and operated by KERN Technical Solutions (CR: 7055103423), you agree to be bound by these Terms of Service in accordance with the E-Commerce Law (Royal Decree M/126, dated 7/11/1440H) of the Kingdom of Saudi Arabia. If you do not agree to these terms, you may not use the platform. You must be at least 18 years old to create an account. Users under 18 may use the platform only with the consent and supervision of a parent or legal guardian. These terms apply to all users, including free and paid subscribers.

FileFlow is a hierarchical file management platform that allows you to organize files using a structured 10-digit filing code system (PP-SSBB-DDFF). The service includes project management, file categorization, document storage, encrypted file details, team collaboration, organization workspaces, sharing features, physical office layouts, and connections with other KERN apps you approve. Suggestions produced by AI features (where a document belongs, a proposed folder structure) are suggestions: review them before relying on them.

You must create an account to use FileFlow. You are responsible for maintaining the confidentiality of your credentials and for all activities under your account. You must provide accurate, current information and promptly update it if it changes. You must notify us immediately of any unauthorized use of your account. Two-factor authentication (2FA) is available and recommended for enhanced account security.

You agree not to use FileFlow to store, upload, or share any content that is illegal, harmful, or violates the rights of others; attempt to gain unauthorized access to other users' data or our systems; interfere with or disrupt the platform or its infrastructure; reverse-engineer, decompile, or attempt to extract the source code; or use the service for any purpose that violates applicable laws or regulations.

You retain full ownership of the content you upload to FileFlow. By using the service, you grant us a limited license to store, process, and display your content solely for the purpose of providing the service. The FileFlow platform, including its design, code, logos, and branding, is the intellectual property of KERN Technical Solutions and is protected by applicable laws.

FileFlow offers free and paid subscription plans. Paid plans are billed monthly or annually at the prices displayed at checkout. VAT is not currently applied by KERN Technical Solutions. You may upgrade your plan at any time; upgrades take effect immediately with prorated charges. You may downgrade your plan; downgrades take effect at the end of the current billing period. Optional add-ons (additional storage, OCR pages, organization slots, team members) are billed monthly and can be purchased or canceled independently.

You may cancel your subscription at any time through the Billing screen in your account settings. Upon cancellation, your paid access continues until the end of the current billing period, after which your account reverts to the Free plan. All payments are final and non-refundable. By subscribing, you acknowledge and agree that no refunds will be issued for any reason, including but not limited to: unused portions of a billing period, plan downgrades, feature dissatisfaction, or account termination. This no-refund policy applies to all subscription payments and add-on purchases. As the service is a digital product delivered immediately upon payment, refund exclusions are permitted under the E-Commerce Law and Consumer Protection regulations of the Kingdom of Saudi Arabia for digital goods and services that have been accessed or used.

FileFlow is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the platform. Our total liability shall not exceed the amount you paid for the service in the twelve months preceding the claim. We do not guarantee uninterrupted or error-free service.

We reserve the right to suspend or terminate your account if you violate these terms or engage in abusive behavior. You may terminate your account at any time through your account settings. Upon termination, your data will be deleted in accordance with our Privacy Policy.

In compliance with the E-Commerce Law of the Kingdom of Saudi Arabia: this platform is operated by KERN Technical Solutions, Commercial Registration number 7055103423, Riyadh, Kingdom of Saudi Arabia. The platform can be reached at fileflow.sa and support@kern.sa. All prices displayed are in Saudi Riyals (SAR). VAT is not currently applied by KERN Technical Solutions. Electronic payment is processed securely through Moyasar, a licensed payment service provider. Electronic invoices and payment receipts are available through the Billing screen. By completing a purchase, you enter into a binding electronic contract for the selected subscription plan or add-on.

These terms are governed by and construed in accordance with the laws of the Kingdom of Saudi Arabia, including the E-Commerce Law, the Personal Data Protection Law (PDPL), and the Consumer Protection Law. KERN Technical Solutions (CR: 7055103423) is registered in the Kingdom of Saudi Arabia. Any disputes arising from these terms shall be resolved through the competent courts in the Kingdom of Saudi Arabia.

We may modify these Terms of Service at any time. Material changes will be communicated via email or a prominent notice on the platform at least 15 days before taking effect. Your continued use of FileFlow after changes constitutes acceptance of the updated terms.
